Ethical production and trade policy

1. Purpose and scope

ELMAX expects our suppliers to operate legally, fairly and with respect for human rights, occupational safety and the environment. The policy sets minimum standards that must be met throughout the supply chain.

Our requirements are based on commonly used ethical trade standards and auditable requirements in the areas of labor, health and safety, environment and business ethics. The developed policy of ethical production and trade with ELMAX aims to change the principles we are guided by and the requirements for suppliers and manufacturers.

2. Requirement of compliance with the law and a higher standard

The supplier must comply with:

  • local and international law applicable to the activity,
  • the requirements of the end customers, if they relate to the material/services provided,
  • of this policy.

If local law and ELMAX requirements differ - a standard to ensure that Increased protection of employees.

3. Social requirements and labour rights

3.1 Prohibition of forced labour and modern slavery

The supplier may not use forced labour, human trafficking, debt work, document retention, or restriction of the freedom of movement of workers.

We require legal and ethical employment - including for agency employees and subcontractors.

3.2 Responsible recruitment - zero employee fees
  • Employees may not incur recruitment fees or costs related to recruitment (including costs of intermediaries, documents, transport, visas, etc.).
  • If such costs occur - the supplier must have a plan and mechanism Full and timely return.
  • In contracts with employment agencies and intermediaries, there must be provisions on the prohibition of charging fees from employees and on liability for refunds.
3.3 Freedom of association and dialogue

The Supplier shall respect the right of employees to associate, represent and bargain collectively, in accordance with the law.

3.4 Occupational health and safety

The supplier must ensure safe and hygienic working conditions, in particular:

  • risk assessments and preventive measures,
  • health and safety training, protective equipment (PPE) at no charge to the employee,
  • efficient fire and evacuation procedures,
  • accident and near-miss register, investigations and corrective actions,
  • safe machinery, installations and electrics,
  • safe management of hazardous substances.
3.5 Prohibition of child labour and protection of juveniles
  • An unconditional ban on the employment of persons under the minimum age of employment (at least 15 years or older, if required by law).
  • If child labor is detected - we require a corrective approach in the best interests of the child.
3.6 Salaries and working time
  • Wages must be paid on time, in accordance with the law and contract, at least at the level of the minimum wage or the relevant collective agreement.
  • Overtime - voluntary, lawful, paid with an allowance.
  • Prohibition of disciplinary deductions from salary and practices that artificially indebted an employee.
  • In the area of striving for wages that allow for a dignified life - we expect to be ready to work together on improvement plans if risks are identified.

3.7 Non-discrimination and dignified treatment

  • Prohibition of discrimination (e.g. on grounds of sex, age, origin, religion, disability, orientation, trade union membership).
  • Prohibition of violence, harassment, harassment, corporal punishment, humiliation.

3.8 Legality of employment and subcontracting

  • We require agreements/terms of employment that are lawful and appropriate to the work performed.
  • Subcontracting and cottage work requires control and transparency - and, if applicable, authorization by end customers.
  • The supplier is obliged to transfer these requirements to its sub-suppliers (flow-down).

4. Environmental and product requirements

The supplier must:

  • hold the required environmental permits and operate in accordance with regulations on emissions, waste, wastewater, water and energy,
  • keep control and records of waste and hazardous substances (including storage and disposal rules),
  • identify and reduce environmental impacts, monitor resource consumption and strive for improvement,
  • ensure that materials/chemicals comply with the legal requirements of the target countries and the requirements of customers (where applicable).

5. Business ethics and fair trade

5.1 Anti-corruption and fairness

Bribery, corruption, falsification of documents, collusion, money laundering, fraud and other unethical practices are prohibited. The supplier must have policies and training appropriate to the risks.

5.2 Gifts and hospitality

Only minor, occasional gestures of symbolic value that do not affect business decisions are allowed. Cash gifts or “under the decision” are unacceptable.

5.3 Data protection and confidentiality

The Provider processes personal data and confidential information in accordance with the law and appropriate organisational and technical safeguards.

6. Requirements for the management system and documentation

The supplier shall have (to the extent appropriate to scale):

  • policies and procedures confirming compliance with requirements (HR, OSH, environment, ethics),
  • kept and reliable records: working time, wages, accidents, training, permits, waste, etc.,
  • risk assessment and corrective and preventive actions.

7. Reporting irregularities - no retaliation

The supplier must provide employees with the opportunity to report complaints and violations without risk of retaliation and conduct fair investigations.

Regardless, the supplier may report suspected violations of these rules to ELMAX:

8. Verification of conformity and consequences

ELMAX can verify the supplier's compliance by:

  • self-assessment surveys, document reviews, visits and audits (own or external)
  • requiring a corrective action plan and evidence of implementation.

In case of violations:

  • we expect immediate reduction of risk to humans (safety priority),
  • agree on and implement a recovery plan,
  • in the event of serious or persistent violations - ELMAX may suspend or terminate the cooperation.

9. Confirmation

Starting or continuing to cooperate with ELMAX constitutes acceptance of this Policy and commitment to apply it to your organization and to your subcontractors.
